SQL Server How to Setup a Data Source in SSRS to MS Access, MS Excel, and CSV Files

Not all data will come from a SQL Server database when you are creating reports in SSRS. There will be times you will need to create a data source to .CSV files, Excel spreadsheets, and MS Access databases.

Recently, I had a customer request setting up sample data sources to these types of files to help the developers complete a migration project.

Items Needed to be Installed on the SSRS Server

The first thing you will need are executables from Microsoft to enable OLEDB and ODBC connections to the source data. SSRS will not be able to use ODBC or OLEDB until the specific drivers for these types of files are installed on the server.

You will need to download and install the following on your SSRS server. While these look to be just for MS Access, they include the drivers for connecting to Flat files and MS Excel as well.

NOTE: I would recommend installing the 64 bit version first, and then the 32 bit version to help save some time troubleshooting the issue of trying to install a 64 bit version once the 32 bit version is already installed.

For Testing

The system is ready to set up the data sources once the drivers are installed on the server. For testing purposes, I have a folder containing sample files for the different types of data sources I would like to connect to:

How to Create a Data Source for MS Excel Files (.xls. xlsx)

We will need to create an ODBC connection on the server to the Excel file before creating a data source in Report Manager.

1. Create a system DNS using the Microsoft Excel Driver (*.xls)

2. Create a meaningful name for your data source. The name will be used later in SSRS when creating the connection string.

3. Make sure to select the correct version of Excel you are wanting to connect and then select Workbook button:

4. Navigate to the location of the document and select the file. Complete the process of creating the system DSN.

You will now be able to create and test your data source in SSRS.

Creating the Data Source in SSRS

1. Open the Report Manager and navigate to the folder structure of where you would like to save your data source. Select New Data Source .

2. Give your data source a descriptive name. Create a good description of the data source for documentation purposes.

3. Select ODBC as your Data Source Type from the drop down menu.

4. Your connection string is Dns=xxx , where xxx is the name you gave your system DSN.

5. Make sure to test your connection, and then select OK.

When writing your query for the report, you will reference your sheet in the excel file which has the data you are wishing to display on the report.

Example: select * from [Sheet1$]

Creating a Data source to .CSV file

For this process, you will use OLEDB to connect to the data source. The main item to note is the data source is defined to look a directory instead of a physical file. If you use a central location for all the .csv files to be located, you will only need to create one data source in SSRS. The queries inside your report will dictate which file the report is pulled from. If you are worried about security, you could set up multiple locations for the files and create individual data sources for the structure.

Unlike connecting to a MS Excel file, you will not need to create a SYSTEM DNS before creating your data source in SSRS.

Navigate to the location you would like your data source to be stored in Report Manager and select new data source.

Give your data source a meaningful name and don t forget to provide a description for documentation purposes.

For your Data Source Type select OLEDB. You will be using the Microsoft.ACE.OLEDB.12.0 provider which was installed with the executables during the system set up listed above.

For your connection string, your provider is Microsoft.ACE.OLEDB.12.0 and the source is the path to the folder which contains your file. For this example, we are assuming the file does not contain a header row. (HDR=No in the properties)

Your connection string will look something like this.

Provider=Microsoft.ACE.OLEDB.12.0;Data Source=D:SampleDataSourceFilesSampleDataSourceSampleFiles;Extended Properties= text;HDR=No;FMT=Delimited

Once your Data source connection has been created, you can test it by creating a simple report. Below is an example of a query you would use in Report Builder to display the information from a file called samplecsv.csv .

Example: select * from samplecsv.csv

To Create a Data Source to an MS Access database (*.accdb files)

To create a data source to an MS Access database, you will use OLEDB Data source type. The sample shown below is a connection to the MS Access 2010 version of the Adventureworks database.

For your connection string, your provider will be Microsoft.ACE.OLEDB.12.0 and your source will be the physical location of the .accdb file.

After the Data sources have been setup, I always like to create a couple of quick same reports to insure they are working as expected.

This process was testing on the following architecture:

Windows 2012R2, SQL Server 2014, Reporting Services 2014

Windows 2008r2 SP1, SQL Server 2012, Reporting Services 2012

    I m often asked what s the difference between a lead and an opportunity?

    Let s define both first

    LEAD = a contact or company that you ve begun a conversation with is essentially an unqualified sales lead. They usually have no current or past relationship with your company.

    OPPORTUNITY = Once there is a budget and a timeline. there must be both, a lead becomes an opportunity. It signals the beginning of your sales process with a potential or existing client.

    Many CRM systems allow for contacts as well as leads and opportunities. In a nutshell, CRM contacts are the people that your company will have or already has an on-going relationship. CRM contacts typically had been qualified as a potential sales opportunity at one point. Contacts may also have different types of relationships with your company, such as a supplier or colleague.

    The thinking behind separating Leads and Contacts in your CRM is to separate the unqualified sales leads from the qualified sales opportunities. The goal is to keep your sales team from spending time on disinterested leads, and focusing on getting real results for your Sales Pipeline report.

    Leads must be contacted by your sales team and either qualified or disqualified as an opportunity. Leads will be converted into accounts, contacts, or opportunities if they are qualified. Otherwise they are deleted or archived.

    Opportunities are potential revenue-generating events, or sale to an account, that needs to be tracked through a sales process to completion. The different sales stages the opportunity moves through for example, demo, proposal or review indicate the value of your sales pipeline by sales stage.

    How to Choose the Best CRM for Your Business

    Customer Relationship Management (CRM) software is a must for every B2B business and most consumer businesses. CRM software enables a business to record contact information, track interactions, and plan follow-up tasks with clients. Businesses that don’t have CRM software do the same task much less efficiently, through a combination of email inboxes, spreadsheets, and calendars. Implementing a CRM system tends to lead to greater revenue, without a company having to spend more on advertising or hire more salespeople.

    There is no wrong time to start using a CRM software; however, the sooner the better. The most difficult part of implementing a CRM system is getting all the data into the system. The less data that exists outside the system, the easier it is to get started.

    Choosing the right CRM for your business can be a difficult task, especially given the hundreds of options, the differences in features between providers, and the wide range of price points. To help lift the burden, we’ve pinpointed five questions you should ask to narrow down the CRM search.

    1. How many employees do you have?

    The more users on a system, the more you have to worry about staying organized and keeping information secure. If you have more than 10 users or so, you’ll probably want the ability to change access privileges so you can control what each user can view and edit. If you have multiple sales teams, you may also want territory management, which lets you divide sales people into teams so they aren’t all sharing leads or clients. You can find both these features in Zoho CRM.

    If you have under 10 users, then these issues probably aren’t as big of a concern. Rather than deal with the additional cost and effort of setting it up, you could use a simpler system like Insightly or Nimble.

    2. Do you need it for sales, marketing, customer service—or all three?

    While CRMs are most commonly used by salespeople to manage their deals, systems like Zoho, SugarCRM, and Salesforce can also be used to handle customer service cases and online marketing campaigns.

    For example, you can have customer service tickets automatically imported from a form on your website. A customer service agent can then log in to view these tickets, send a response to resolve the issue, or pass it along to another agent. Likewise, you can import leads from web forms and have these prospective customers added to email campaigns.

    If you’re looking for just online marketing and sales tools, Hatchbuck offers robust online marketing tools that are also a bit more user friendly. By tracking user behavior such as what links they clicked, or (if you re an online store) what purchases they made, you can build a detailed profile of customer preferences. You can use this data to send more personalized marketing materials, such as a coupon for a product they’ve shown interest in.

    If you only need basic contact and sales management, then you can keep things simple by using Insightly or Nimble.

    3. Do you want it to work with other systems?

    Do you want to be able to quickly send sales information to your accounting software? Or perhaps you want to sync your contact book with your email marketing service?

    These are just two of many ways you can integrate your CRM with other systems. Realtors, online stores, contractors, developers, human resources departments, and project managers all have special software they use day to day. Integrating with a CRM can mean less tedious work and reduce the chance of errors when you transfer data between systems.

    Salesforce boasts the largest number of integrations and add ons of any CRM, with over 2,600 available in their app store. Zoho and SugarCRM also support many third party integrations. However, even if the software you want isn’t supported, you can potentially build it yourself if you or someone you know is handy with code. Zoho and Salesforce have an API and SugarCRM gives you access to the source code.

    Insightly and Nimble have fewer integrations, but they can still be linked with popular software like Quickbooks, Mailchimp, or Evernote.

    4. What additional features do you need?

    There’s loads of additional features you may want and only be able to find in certain CRMs. For example, many businesses today want to be able to monitor social media channels to find mentions of their businesses, or see what their clients are up to. You’ll find this in Zoho and Nimble, although Nimble takes it much further by combining all your social media and email connections into a single contact book. Nimble then scans these channels for opportunities to engage.

    Insightly includes project management tools, which can be great for businesses who want to track the progress of an order after the deal has been finalized. Zoho also includes project management, but you have to install it as an add on. Zoho actually offers many other business programs, such as accounting, website visitor tracking, help desk and more, which can all be linked with the CRM.

    Bitrix24 takes a unique approach by adding collaboration tools to their CRM. You can IM or video chat with other users, collaborate on documents, and post statuses with comments, much like Facebook. The best part, however, is that there’s a free edition for up to 12 users.

    5. How much can you afford to pay?

    A simple rule to remember—the more advanced features you want, the more you will have to pay. Here’s the pricing information for the CRMs we mentioned in this article:

    • Insightly is $7 / User / Month
    • Nimble is $15 / User / Month
    • Zoho CRM is $35 / User / Month for the Enterprise Edition
    • SugarCRM is $65 / User / Month for the Enterprise Edition
    • Salesforce is $125 / User / Month for the Enterprise Edition
    • Hatchbuck is $300 / Month for an unlimited number of users
    • Bitrix24 is free for up to 12 users

    Conclusion

    Answering these five questions will get you started on the search for a CRM. Remember that each additional feature tends to raise the cost and complicate setup. Rather than fumble with advanced features that won’t even be used, stick with what you need and you’ll likely see a lower price tag.

    An enterprise application is the phrase used to describe applications (or software) that a business would use to assist the organization in solving enterprise problems. When the word “enterprise” is combined with “application ,” it usually refers to a software platform that is too large and too complex for individual or small business use.

    Integration and Deployment

    Enterprise applications are typically designed to interface or integrate with other enterprise applications used within the organization, and to be deployed across a variety of networks (Internet. Intranet and corporate networks) while meeting strict requirements for security and administration management.

    Proprietary Enterprise Apps

    Proprietary enterprise applications are usually designed and deployed in-house by a specialized IT development team within the organization. However, an enterprise may outsource some or all of the development of the application, and bring it back in-house for deployment.

    Application Service Providers (ASP)

    Today, using enterprise a pplication s ervice p roviders (ASP ) is more prevalent. Here, the enterprise application is designed by a third-party application service provider and leased to the enterprise, as an on-premise or hosted service. This is also often referred to s oftware-a s-as ervice (SaaS ) or Web-based applications.

    Trends in Enterprise Apps

    Another trend in enterprise applications is the move to cloud computing. where the enterprise moves some or its entire infrastructure to the cloud — a type of Internet-based computing, where services are delivered to an organization’s computers and devices through the Internet as an on-demand service. Some enterprises may also choose a hybrid solution where cloud applications are integrated with on-premise systems.
